Argonne National Laboratory Events Administrative Assistant in Lemont, Illinois

We are accepting applications now for an Events Administrative Assistant. This role will contribute to the coordination and support of events organized by Communications and Public Affairs, including tours, conferences, meetings, workshops, seminars, and protocol visits.

Key Responsibilities:

  • Provide administrative support for the Events Center of Excellence, including procurement, meeting scheduling, managing shared mailboxes and calendars, document tracking, and regular reporting.

  • Prepare event materials such as nametags, name tents, and biographies.

  • Coordinate logistical details for guests, visitors, organizers, speakers, vendors, and attendees.

  • Process gate passes and ensure compliance with Department of Energy policies and procedures.

  • Support tours and events that meet the goals and outcomes of key internal and external stakeholders, promoting a positive image of the Laboratory and its programs.

Position Requirements

  • Experience supporting standard industry practices and protocols of strategic event management.

  • Excellent interpersonal and communication skills for productive interactions with contacts at all levels, including senior Laboratory management and visitors.

  • Proficiency in digital tools required for successful operations, including Box, Word, Excel, PowerPoint, Outlook, Cvent, Qualtrics, Zoom, and Microsoft Teams.

  • Demonstrated organizational skills, resourcefulness, creativity, and problem-solving ability with attention to detail.

Work Environment:

  • Hybrid work role, primarily on-site in Lemont, Illinois, with up to 40% remote work.

  • Ability to work irregular hours, including occasional nights and weekends, as necessary.

The selected individual will be placed at the appropriate level (SA2 or SA3) depending on the depth and breadth of relevant knowledge, skills, and experience brought to the position. The requirements for the desired levels are as follows:

SA2: High school diploma and 4+ years of relevant experience or equivalent

SA3: High school diploma and 8+ years of relevant experience or equivalent
